MANAGED CHARGEBACK REPRESENTMENT
ribbonPay manages disputes from intake through outcome tracking: gathering available evidence, preparing compliant representments, submitting eligible responses, and reporting what each chargeback actually cost your business.
Stand-alone service. $499/month for up to 50 chargebacks.
THE COST BEYOND THE SALE
Your team may spend time tracing orders, collecting evidence, responding, and reconciling outcomes – while processor fees, lost merchandise, and unclear reporting add to the burden.
Disputes pull staff away from customers, fulfillment, finance, and growth work.
Order records, delivery details, customer communications, refunds, and transaction data must be assembled into a supportable response.
Processor fees, lost merchandise or revenue, and internal labor can make the true loss larger than the original dispute.
Managed handling creates one accountable process for cases and clearer visibility into what was disputed, recovered, and ultimately lost.
PREVENTION GUIDANCE
ribbonPay reviews the patterns behind your disputes and recommends practical changes across checkout, policies, fulfillment, billing, and customer communication. You decide which guidance fits your business and platform.
We audit your terms and conditions; shipping and delivery policies and procedures; and return and refund policies. We recommend clearer language, placement, and process steps and, where your checkout supports it, add or recommend a required click-to-agree control so you can document acceptance before an order is submitted.
We review your transaction flow and, when it fits your operation, may recommend authorizing first and capturing after review or fulfillment. We also look for confusing billing descriptors, confirmations, delivery updates, refund messages, and support details that can lead to avoidable disputes.
Fraud-related chargebacks need a separate layer. ribbonPay Managed Fraud Review is an optional service designed to stop fraudulent orders while approving legitimate ones. It is separate from Chargeback Management and does not provide a financial fraud guarantee or reimburse fraud-related chargebacks.
These recommendations are guidance, not requirements. You choose what fits your business, platform, and customer experience. No policy, workflow, or review service can prevent every chargeback, and results are not guaranteed.
SIX-STEP MANAGED PROCESS
01
Grant access to the relevant processor, gateway, commerce, or order systems so assigned cases can enter the managed workflow.
02
Assess the reason code, case requirements, transaction, fulfillment, communications, and refund history.
03
Gather relevant records from accessible systems and merchant-provided materials.
04
When additional information is needed, the merchant is expected to provide it within 3 business days.
05
Build the strongest supportable rebuttal or representment package and submit it to the processor.
06
Follow handled cases through the applicable outcome stage, including pre-arbitration or arbitration where appropriate, then report outcomes and patterns.
For cases received and accepted into scope, ribbonPay works to submit eligible responses before applicable deadlines when account access and the required information are available.

OUTCOMES WITH CONTEXT
Outcome reporting helps your team understand what happened after the initial dispute and where recurring operational or fraud patterns may deserve attention.
Track the final known outcome for handled cases rather than treating every initial dispute as a permanent loss.
Separate recovered amounts from the original gross dispute total after outcomes are known.
Review what remained lost after the outcome, including relevant fees, merchandise or revenue, and operational impact where records support it.
Group reason categories and recurring root causes to support practical operational or fraud-prevention recommendations.

COMMON QUESTIONS
Standard scope includes retrievals and inquiries, initial chargeback responses, evidence collection from available systems and merchant-provided materials, rebuttal and representment preparation, processor submission, applicable pre-arbitration or arbitration handling, outcome tracking and reporting, and recommendations based on dispute reasons and recurring patterns.
No. Compliance cases and alert-network services—including Verifi RDR, Visa Order Insight, and Ethoca alerts—are outside the standard service. Separate tools may be considered after enough case history is reviewed.
You provide access to the relevant processor, gateway, commerce, or order systems and supply accurate records when needed. ribbonPay does not require you to pre-approve every individual response before submission.
When ribbonPay requests missing evidence or information, the merchant is expected to provide it within 3 business days. Delayed or unavailable information may affect what can be submitted before the applicable deadline.
Pre-arbitration and arbitration support or handling is included where applicable for assigned cases. Not every dispute reaches these stages, and the available response depends on the case requirements and card-network process.
The standard plan is $499 per month for up to 50 chargebacks. Volumes above 50 receive custom pricing.
Yes. Chargeback Management is available as a stand-alone service and does not require another ribbonPay product.
No. The service does not provide universal deadline monitoring across all processor or account activity. ribbonPay tracks the assigned cases it is actively handling and works to submit eligible responses before applicable deadlines when account access and required information are available.
No. Chargeback outcomes are determined through issuer and card-network processes. Results depend on the reason code, available evidence, applicable deadlines, account access, and merchant responsiveness; no win rate, recovery amount, or individual outcome is guaranteed.
Schedule a consultation to discuss case volume, account access, current workflows, and whether the standard plan fits your needs.
SERVICE SCOPE AND OUTCOMES
Chargeback Management is a managed response service, not an insurance product or chargeback guarantee, and it does not promise recovery. ribbonPay prepares and manages chargeback responses to provide the strongest supportable case under the applicable card-brand rules. Chargeback outcomes are determined by issuers and card-network processes, and no win rate or individual result is guaranteed. Outcomes also depend on the reason code, available evidence, applicable deadlines, account access, and merchant responsiveness.
